In business since 1935, Daubert Chemical Company is a profitable, family-owned specialty chemical manufacturer located near Midway airport and a market leader in the products we sell to our end users and distributors. We are seeking an experienced Customer Service Representative (CSR) in the plant office. The CSR functions as the primary liaison between the company, sales, and its customers from placement of PO to order entry to shipment of orders. The successful candidate will be responsible for entering orders and communicating order status to customers, sales, scheduling and shipping; providing accurate product and shipping information and resolving customers’ issues; processing credit memos and documentation as required. This position will also be trained as a backup to the planning and coordination of production schedules and assist with invoices, inventory, data entry, and calculations.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

  • Corresponds with customers, through phone, fax, e-mail and customer’s web site, to receive their purchase orders and other requests.
  • Enter sales and samples order in Dynamics 365 using the proper warehouse, notes and part numbers.
  • Change sales orders as needed. Add relevant notes to SalesForce as necessary to ensure other Customer Service Representatives and Sales are aware of any situations. 
  • Prepare customer orders for invoicing.
  • Add freight, tariff charges and release back orders and orders on Credit Hold.
  • Assist with maintaining all related customer order files.
  • Check status of products in stock to ensure availability for customers and to provide accurate shipping dates.
  • Acts as a liaison between customers, scheduling, and sales departments regarding sales orders to ensure timely delivery and resolve customer issues.
  • Maintains contact with customers regarding expediting orders, order status, shipping date, pricing, credit, complaints, etc. and document all pertinent notes in SalesForce.

QUALIFICATIONS 

EDUCATION and/or EXPERIENCE

One year certificate from college or technical school; or two to three years related experience (order-to-cash customer service role is required; experience in industrial or manufacturing customer service is preferred) and/or training; or equivalent combination of education and experience.

LANGUAGE SKILLS

Ability to read and comprehend simple instructions, short correspondence, and memos.  Ability to write simple correspondence.  Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.  Excellent phone skills required for extensive phone contact.  Positive, helpful phone skills are essential to ensuring good communication and rapport during each customer and internal interaction; respond to inquiries by any method with professionalism.

MATHEMATICAL SKILLS

Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume.  Ability to apply concepts of basic algebra and geometry.

COMPUTER SKILLS

Proficient in MS Office is required, including Outlook email and Excel.

Ability to learn company’s software to be productive and efficient; CRM database experience, e.g. Microsoft Dynamics 365 and SalesForce, is a plus.

REASONING ABILITY

Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.  Ability to deal with problems involving several concrete variables in standardized situations and where limited standardization exists.
